1.1. Dates and prices
The specific dates and prices for the aforementioned courses will be those that appear in the official Alcalingua website: www.alcalingua.com.
Program will be considered as the sum of all the courses contracted and paid by the student (intensive, quarterly and annual, etc.); this will be taken into account when applying the cancellation policy.
1.2. Registration deadline
Registration deadline in Alcalingua courses will be:
- 7 days before the course starts in case of accommodation booking.
- 1 day if the accommodation booking is not necessary.
- In case of visa and consular proceedings, Spanish Embassy will stablish the time to complete the process.
Students will start the program on the indicated dates, both for the level test and the courses themselves. Those who wish to begin on a date outside the set calendar will be subject to availability. Under no circumstances, course prices will be changed.
1.3. Visa and Residence Authorization Procedures
Those students who need to ask for student visa (D type) in the Spanish Embassy will need an admission letter from the Universidad de Alcalá, which will be remitted as soon as the student makes the full payment of the course fees.
The document will certify student’s personal details, passport number and the period of study in Alcalingua as well as the accommodation address.
Therefore, the reserved and paid period will appear on the official certificate issued by Alcalingua in order to start consular procedures.
2.1. The price of regular courses includes
Enrollment in regular courses includes:
- Student textbook and exercise booklet
- Guided tour of the city of Alcalá
- Language level examination
- The diploma expedition
- A student ID card that enables the use of all University facilities, including access to libraries and computer labs
- Mandatory health insurance
2.2. Reimbursement
Alcalingua will discount 10%, (procedures fees), of the received payment in the case that the student visa is denied by diplomatic or consular officials. Prior to such reimbursement, the following documentation must be presented:
- Original document of the rejection issued by the Embassy or Consulate.
- Original documents sent by Alcalingua Universidad de Alcalá.
There will be no other cause for reimbursement, under any circumstances
2.3. Cancellation Policy
If the student decides to cancel the program once the registration fee has been paid, Alcalingua shall apply one of the following criteria regarding reimbursement:
- 70% reimbursement if the program is cancelled more than 30 days prior to class start date.
- 50% reimbursement if the program is cancelled 30 days or less prior to class start date.
No reimbursement will be made once the program applied for has started. In that case, if consular procedures are involved, the Spanish Embassy will be immediately notified in order to refuse a visa request.
2.4. Accommodation cancellation policy
Minimum stay of 3 months (excepting intensive courses) will be required. In case of cancellation by the student, without justifiable and proved cause, a penalty of one month's price will be applied. Any change or cancellation must be notified one month in advance; otherwise, no refund will be made
These conditions affect all types of accommodation services processed through University of Alcalá Alcalingua.
4.2.1. Accommodation conditions - CRUSA
Minimum stay of 3 months (excepting intensive courses).
The cancellation of the services will cost some expenses:
- 50% of the amount of the stay, or 1 monthly payment, if canceled 30 to 20 days before arrival.
- 75% of the amount of the stay, or 2 monthly payments, if canceled from 20 to 5 days before arrival.
- 100% of the amount of the stay, if canceled from 5 days before arrival.
In case of arrival at the residence later than the reservation dates, no change will be made to the dates of the reservation. The departure date will remain the same, not having the right to get the reimburse of those days you could not use the room.
Date changes in the reservation will be accepted when they are notified at least 30 days before the booking reservation. In case you want to make a change in the dates with less than 30 days in advance, the cancellation policy will be applied, unless expressly justified due to problems with the visa.
2.5. Cancellations
Once the course or program has started, no subject can be canceled.
2.6. Refund for academic reasons
Until the level test is carried out, first day of the course, Alcalingua cannot guarantee that the minimum number of eight students will be reached for a group to open. If not extended, the center will offer alternative solutions. In case the student does not agree any of them, Alcalingua would refund the amount of the course.
Students may be expelled from the center and, therefore, the program contract will automatically be terminated if their behavior is not appropriate. The following are considered inappropriate conducts:
- Misconduct: behaviors such as causing other people physical or moral harm (both in our facilities and outside them), harassment, violence, vandalism, use of drugs or alcohol, among others.
- Antisocial behavior: causing physical damage to the center's facilities or others provided by Alcalingua (accommodation, extracurricular activities, etc.) as well as inappropriate use of the services provided by the center.
- Failure to comply with school regulations: non-compliance with the academic or administrative requirements established by the school, such as regularly attending class, submitting assigned work or what is established by the center in its academic planning.
- Illegal Activities: Engaging in any illegal action or criminal act on or off the school campus, such as vandalism, theft, drug possession or distribution, etc.
- Security threat: if a student represents a threat to the security of other students, teachers or staff at the educational center or the place where they are staying.
- Serious lack of respect or insubordination: severe disrespect or insubordination towards teaching and administrative staff, as well as lack of consideration for classmates.
- Acts against moral integrity: conducts contrary to the ethics and values of the institution as well as the public display of racist, sexist or ideologically violent attitudes.
- Recidivism: if a student has had multiple disciplinary infractions or has been previously warned and their behavior has not changed.
In these cases, the program amount will not be refunded. Repatriation costs, as well as payment for damages caused and legal assistance, are the responsibility of the student. Alcalingua will not be liable for any financial charges derived from non-compliance with its regulations.
4.1. Health insurance
All the students of the regular courses (Language or Language and Culture) must contract the medical insurance offered by the University of Alcalá to be able to run the courses. The prices of the Language and Language and Culture courses include this medical insurance for the study period contracted.
5.1. Spanish levels
Alcalingua offers all levels stablished in the Common European Framework of Reference. From initial to superior.
5.2. Level test
The level test is the instrument that Alcalingua uses to place students at the appropriate level and thus guarantee maximum use of the course, making it an exam that every student must apply.
The level test will be done on arrival at the center, regardless of the number of courses in which the student has enrolled. The test cannot be repeated.
In case of being dissatisfied with the level obtained in the test, the student should communicate to Academic Coordination Service.
5.3. Shift changes
Alcalingua will assign student shifts (morning or afternoon) according to their academic planning needs.
Those students who contract more than one course should take into account that their shift may change from one course to another.
Only those students studying at UAH (University Schools) may request a change of schedule. Registration voucher will be required by the center.
5.4. The teaching material
Alcalingua will deliver the teaching material in the first week of the course. In addition, the student will be provided with the keys to access the Virtual Classroom.
The Virtual Classroom is the resource center, created by the teachers, to share the work material with their groups. This platform includes the portfolio activities, the dossiers for the culture classes and the information on extra-academic activities.
It is compulsory to bring all the teaching material to the classes, either in paper or in digital format.
5.5. Mobile phones and electronic devices
The use of mobiles, tablets, etc. is not allowed during classes, unless the activity suggested by the teacher expressly includes it.
5.6. Extra academic activities
These activities, designed to be carried out as a complement to regular courses, are designed to enhance immersion and actively contribute to learning the Spanish language and culture.

6.1. The evaluation
Alcalingua courses are structured in accordance with the European Credit Transfer and Accumulation System (ECTS) proposed by the European Higher Education Area (EHEA), which is a measure of the time spent by students in acquiring the competences defined in the curriculum. These credits not only reflect classroom attendance and participation, but also the time spent in individual study, completing set work and taking part in cultural and social activities included in the programme, etc.
In the Language course (Language and communication and Oral and written skills) each student will have their own portfolio (Portfolio) that must include all their work for the course.
The final grade will be based on the following elements:
- Continuous work: 35%
- Attendance and participation: 25%
- Partial exam: 20%
- Final exam: 20%
The Alcalingua-UAH evaluation scale is as follows (ECTS rating. Spanish rating):
- A+: Matrícula de Honor. 10.
- A: Sobresaliente. 10; 9,5; 9.
- B: Notable. 8,5; 8.
- C: Notable. 7,5; 7.
- D: Aprobado. 6,5; 6. 5,5; 5.
- F: Suspenso. 4,5; 4; 3,5; 3; 2,5; 2; 1,5; 1; 0,5; 0.
- Abs: No presentado. 0.
In the Culture courses, in general, the subjects are evaluated through oral presentations and / or written works on any of the topics covered during the course. It is up to the teacher to decide whether to take a test or final exam.
6.2. Complaints
In the case of complaint related to the grades obtained, student must communicate to Academic Coordination.
6.3. Certificates and diplomas
At the end of the course, as long as the attendance has been completed, Alcalingua University of Alcalá legal diploma will be provided, containing: student's information, name of the course, level, and number of hours completed and date.
In addition, a grade certificate will be delivered, which is the official document for the recognition of credits by the Universities.
6.4. Attendance and delays
The number of absences may not exceed 10% of the program/course hours. Otherwise the student cannot take neither the final exam nor receive the final transcript.
Any absence must be communicated and justified (with the appropriate official documents) to the teachers. They will indicate the procedure to follow.
Arriving 10 or more minutes late at the lessons may be considered by the teacher as an unjustified absence.
Places are limited. Sending the request does not guarantee the booking.
The residence stay will be contracted, necessarily, for periods identical to the selected program. Full and prior payment will be required to reserve a place.
Alcalingua will not be responsible for the loss or damage of personal belongings deposited in the University Residences or their facilities.
Alcalingua collaborates with companies that specialize in host family accommodations. In this type of accommodation, our team supervises the quality of the service and ensures that it is conducted properly.
In accommodations managed by companies external to Alcalingua - University of Alcalá, the specific regulations of these companies will also apply.
The rules established by external organizations to Alcalingua - University of Alcalá do not exempt compliance with the regulations of our center. Likewise, a sanction imposed by an external organization does not prevent the center from also adopting the measures outlined in its own regulations.
